2021 Client Agreement Form

The terms in the form below apply to singular projects, such as a manuscript or an op-ed, along with consultation work that may include multiple projects, ongoing projects, communication development, public relations, and other such advisement-driven work.

Project Evaluation
For each new project, I typically conduct a 60-minute preliminary discovery session at no cost. During this session, we discuss whether or not there’s a need for me to review and evaluate your project. This evaluation time is billed hourly. All estimates are based on the client’s representation of the project, and are subject to change if the scope, materials, content, or other elements of the project differ from its initial representation.
Time Reservation
You may reserve more time at the end of a project if you think you’ll need it as cushion. I schedule clients back-to-back, and a reserved block of time will create space for you if you might need my attention longer than we originally plan. Unused reserved time is billed at 50% of my hourly rate. Reserve this time prior to starting the project. It’s sometimes possible to schedule reserve time during our work together as well, provided I’ve not already scheduled another client immediately following your project.
Cancellations & Late Delivery of Materials
Projects cancelled less than or equal to two weeks prior to their start date incur a Cancellation Fee of $500. Projects cancelled before their completion incur a Cancellation Fee of $500, in addition to payment for all time and work up to that point. If a project is cancelled by default — in other words, if client revisions/materials/meetings are so late that I must move on to another scheduled project — you will incur a $500 Cancellation Fee. You may avoid a Cancellation Fee by substituting a project that can be done in the time reserved for the original job, provided that I agree to the substitution. Changes in the scope of the work, misrepresented work by the client, missed or frequently rescheduled meetings, or unpaid invoices may result in my cancellation of the project, at which point all outstanding invoices and time worked must be paid. If you request that work be completed within a shorter period than originally negotiated, a Rush Fee of 20% is applied to that time. For flat-fee projects, a Rush Fee is applied only to the hours spent on the rush portion of the project. These are calculated by reducing the flat-fee project to an hourly rate and applying 20%. I bill for all time spent on a project, including travel outside of Grand Rapids, and telephone, meeting, research, correspondence, and photocopying time. All meetings are billed from the time the meeting is scheduled to begin. If you are late or miss a meeting without prior notice, the time will still be billed in full.
Payment Schedules
Invoices are sent every two weeks, and are due within 15 days. Interest is assessed on unpaid invoices after 30 days at a rate of 2% per month.
